What is a Town Clerk?

The term "clerk" is an ancient and honorable one. It comes from the early middle ages when churches regulated many local government matters and only clergymen were educated and could write; therefore, the idea of a clerk as a writer, keeper of records and local official comes from this history. The first settlers in America soon created the office of parish or town clerk, and the post continues today as an essential position in municipal government. Every city and town in the nation, regardless of size or form of government, has a clerk or equivalent position.

FROM THE OFFICE OF THE TOWN CLERK

The Town Clerk's office is located at Town Hall, 105 Center Street, Dundee. The office hours are Monday through Friday, 8:00 am to 5:00 pm.

The Town Clerk is the official records keeper of the Town and custodian of the Town Seal. The Town Clerk is appointed by and reports to the Town Manager.

Responsibilities of the Town Clerk include:
Recording the minutes and all official actions of the Town Council

Prepares and distributes all Town Council meeting agendas

Attesting to and maintaining custody of all records of the Town of Dundee

Administering the publication and supplementation of the Town Code Book

Process, record, file and advertise ordinances, resolutions, bids and notices

Establishing and coordinating the Town's records and archives management program in compliance with state law

Responding to public records requests

Authenticates Town records as true and correct copies of originals

Administer oaths of office

Provides Notary Services

Updates the Town's Website

Serving as the municipal Supervisor of Elections by representing the Town in transaction with the Supervisor of Elections, conducting all Town elections in accordance with Town, County and State laws.

Provides administrative and clerical support to Town Manager and Council and assists the Town Manager with special projects

Conducts Human Resource functions for the Town
